Board/Executive Director Support Topaz Office Pros (TOP) provides contract administrative support to the Grand County Colorado Tourism Board (GCCTB) from its office located in Granby, Colorado. The GCCTB is a non-profit, 12-member, all-volunteer board, with diverse interests, appointed by the Grand County Board of County Commissioners. Each board member serves a three-year term and represents all of Grand County with four members representing the Kremmling area, four members representing the Granby/Grand Lake area, and four members representing the Winter Park/Fraser Valley area. Topaz Office Pros has provided a wide variety of administrative services to the GCCTB since May 1, 2000. TOP provides contract accounting and bookkeeping services to Grand Futures Prevention Coalition (GFPC). GFPC is a three-county substance abuse prevention coalition with Executive Directors and program offices located in Granby, Steamboat Springs, and Craig. Each program office has a local Board of Directors and the three-county coalition also has a Coalition Board comprised of members of each program office board. TOP has fulfilled all nonprofit fund accounting requirements for GFPC since August 1, 2004. Financials Topaz Office Pros provides bookkeeping and accounting services to a variety of clients and small business owners utilizing QuickBooks and Excel. Monthly financials are produced and provided to clients in a timely manner. Other services include non-profit fund accounting, bank and credit card account reconciliation, A/P, A/R, payroll, sales and payroll tax filing, and grant administration. TOP works closely with Berger Business Services (BBS) located in Winter Park, Colorado. BBS provides complete accounting and tax services for businesses, nonprofits, and associations and is an on-call resource affiliate for TOP. BBS also provides high speed, secure, remote financial data access to clients. Record Keeping Topaz Office Pros understands that keeping client records accessible, organized, and highly confidential is essential to the overall integrity of any organization or company. Client files are meticulously maintained, online and hardcopy, for easy retrieval and review during normal business hours. Electronic files are securely backed up on a regular basis. Additional offsite backup is encouraged. All client policies and decisions are supported with a high level of confidentiality and professionalism maintained at all times. Membership Topaz Office Pros provides database management services to assure that up-to-date records are accessible for communications and operations. Email distribution lists are maintained and utilized for up-to-the-minute updates to relevant audiences. Conference Support Topaz Office Pros provides conference support services including site selection, organization, advertising, registration, securing equipment, set-up, breakdown, promotional collateral ordering and disbursement, and customer interface during the event. WebSite Topaz Office Pros provides website content maintenance services utilizing client's web-based software working in collaboration with client's web site host and/or webmaster. Other Tasks as Assigned It is within the nature of any organization or business that unforeseen opportunities arise and additional administrative support may be necessary. Topaz Office Pros considers itself the "Army Reserve of Admin." and invites clients to keep TOP apprised of new administrative needs. Large-scale, one-time, or ongoing projects outside the scope of work contracted are evaluated individually and a subsequent bid prepared upon request. Compensation Topaz Office Pros is enthusiastic about providing services to clients. A monthly retainer is recommended for the greatest benefit of clients. An hourly rate can be negotiated if determined to be appropriate to the nature of the project. Reimbursable expenses for mileage, lodging, meals, long-distance telephone, and office supplies necessary for the fulfillment of the project requirements will be billed on a monthly basis. An Independent Contractor Agreement will be provided by Topaz Professionals, Inc. the parent company of Topaz Office Pros.
